Forum Söder also serves as a regional node for the Southern Healthcare Region as part of the national collaboration Clinical Studies Sweden, supported by the Swedish Research Council. WORK TASKS As an administrative coordinator, you are the hub of the Grants Office's daily operations. You ensure that application processes run smoothly, from when a research group makes first contact to when the application is submitted and registered. In this role, you are responsible for planning and implementing outreach training initiatives. As manager of our case management system, funding announcements calendar, and parts of internal communications, you often serve as researchers' first point of contact with the Grants Office. You play an important role in ensuring nothing falls through the cracks in an environment with many parallel cases. Your work tasks include: • Coordinating the training programs that the Grants Office is responsible for • Handling incoming inquiries and distributing cases within the Grants Office • Maintaining and updating the Grants Office case management system and funding announcements calendar • Managing application processes: handling portals (PRISMA, EU Funding & Tenders Portal), collecting documentation, and ensuring compliance with formal requirements • Registering applications and agreements in accordance with Region Skåne's procedures • Coordinating internal and external meetings, workshops, and training events • Assisting with communication and information dissemination about funding announcements and Grants Office services • Compiling data for key performance indicators for monitoring and reporting • Providing practical support to research groups with application portals and formal requirements • Contributing to documenting processes and templates for recurring funding announcements QUALIFICATIONS We are looking for someone who has: • University education in social sciences, law, economics, life sciences such as medicine, health sciences, pharmaceutical sciences, or natural sciences, or other comparable education that we consider relevant for the position • At least two years of documented experience in administrative coordination work, preferably in the public sector, university, or regional healthcare • Experience coordinating external events, training programs, or workshops • Strong ability to manage multiple parallel cases with high attention to detail and meet deadlines • Experience with case management systems, registration procedures, or similar administrative systems • Excellent computer skills in MS Office or similar programs • Good ability to communicate in Swedish and English It is advantageous if you have: • Experience administering research applications in academia, university hospitals, or public research and development activities • Knowledge of PRISMA or EU Funding & Tenders Portal • Basic understanding of clinical research and its administrative requirements To succeed in this role, it is important that you prioritize the researcher's needs regarding their application, are genuinely service-oriented, and have strong communication skills. You are thorough and comfortable bringing order to environments where many things happen simultaneously. With a natural sense of structure, you understand the importance of doing the right thing at the right time. You communicate clearly and professionally with research groups, listen to their needs, and can explain administrative requirements in an accessible way. The role also requires flexibility and a willingness to support team colleagues where needed. You enjoy contributing to the bigger picture and feel comfortable not always having all the answers yourself.
