Bildmuseet is seeking an Administrative Director who wants to be part of developing one of Sweden's most dynamic art institutions. The position as Administrative Director also includes serving as Bildmuseet's economist. You will hold a central position in the organization where you, together with the museum director and management group, contribute to strengthening the quality, sustainability, and continued development of the operations.
Job Responsibilities
Bildmuseet is led by a museum director together with a management group. As administrative director and economist, you are part of the management group and actively participate in work on both operational and strategic matters concerning the museum's operations. You report to the museum director in accordance with the applicable delegation order.
The position consists of two parts: serving as administrative director and serving as economist.
In your role as administrative director, you work on the museum director's behalf with developing and maintaining administrative routines, personnel and work environment, as well as security and premises within the operations. You work with operational planning, monitoring, and development, including strategic work, initiate and follow up quality work and risk analyses, and are responsible for analyses and decision-making materials for the museum director and provide support in decision-making processes. You also contribute to further developing the museum's quality work by collaborating with other parts of Umeå University and representing Bildmuseet in various internal contexts.
The responsibility includes working with efficiency and digitalization of administrative processes and ensuring compliance with laws, regulations, collective agreements, internal governing documents, and collaboration with union representatives.
In your role as economist, you are responsible for preparing budgets, forecasts, and financial statements, and for communicating the contents of these in a pedagogical manner both verbally and in writing. This further includes creating project budgets, project follow-ups, and reporting of projects financed by both external and internal funds. You also handle the ongoing management of invoices, accounting, fixed assets, procurement matters, travel expenses, advances, and other economic administrative tasks. You also participate in work to seek external financing for the operations. Additional work tasks within the economic field may be added.
Qualifications
We are looking for someone with at least a bachelor's degree in economics with a focus on accounting, for example from a business economics program or equivalent competence.
You have:
Several years of experience in qualified economic work, including budgeting, monitoring, and financial statements, as well as economic administrative tasks.
Documented experience in management positions and experience in operational development, quality work, and administrative processes.
High integrity and are self-driven, analytical, structured. You work solution-oriented and take initiative, while maintaining very good collaboration skills.
You have a good ability to see the whole picture, prioritize and delegate, as well as to create engagement and participation in the organization, and you are responsive, clear, and flexible.
You communicate fluently in Swedish and English in both speech and writing.
Desirable Qualifications:
Experience with economic work in a larger organization, preferably in the public sector or at a university/college.
Experience administering projects with external financing, for example from research funders or EU projects.
Good understanding of government operations and cultural activities.
Documented experience in management positions with personnel responsibility.

A probationary employment period of 6 months may be applied.
