We are now seeking a Scale Administrator for our partner in Linköping. Here you'll have a central role in an intensive transport flow where administration, service, planning, and problem-solving go hand in hand. You'll work with multiple scales and facilities in parallel and become an important point of contact for drivers, customers, and colleagues when transports need to be weighed, registered, and moved along correctly. This is a role for someone who thrives when a lot is happening. The phone rings often, multiple issues may need to be handled simultaneously, and conditions can change quickly. At the same time, you need to remain calm, prioritize, and create structure. Over time, you'll also have the opportunity to take greater responsibility for planning within the team and become a natural coordinating force in daily operations. About the RoleAs a Scale Administrator, you'll work to ensure a smooth and correct flow of transports at three different locations. In total, the operation handles seven scales of various types, which means you need to keep track of multiple parallel flows and quickly switch between different matters. You weigh transports, register materials, and ensure that the correct information is entered into the systems. At the same time, you maintain ongoing contact with drivers, customers, and colleagues to answer questions and handle deviations. A large part of this contact occurs via phone, and the pace of calls is high, which means you need to appreciate a work environment where you often need to act directly on what happens. When something goes wrong, your task is not just to handle the immediate consequence. We're looking for someone who wants to understand the underlying problem, find out why the situation occurred, and contribute to preventing it from happening again. Your work tasks include, among other things: Greeting transports, weighing vehicles in and out, and registering materials. Handling weighing for multiple scales and locations in parallel. Administering weighing both remotely and locally. Creating shipping documents and receipts as well as administering transport orders. Handling deviations and solving problems that arise in the transport flow. Answering a large number of incoming inquiries primarily via phone, but also email. Maintaining ongoing contact with drivers, customers, and colleagues at the facilities. Ensuring that information, documentation, and registrations are correct. Contributing to a smooth and efficient flow of transports to and from the facilities. Planning and creating forward planning in the team's daily work. A Role with the Opportunity to Take Greater Responsibility Beyond the operational administration, we're looking for someone who, over time, wants to take a naturally coordinating role in the group. This isn't about formal personnel responsibility, but about being the person who helps the team create forward planning and structure. This could involve reviewing weekly staffing, upcoming meetings, time off, and how responsibility for the different scales should be distributed. The goal is for the team to work proactively and reduce the need to solve staffing and planning issues only after they arise. To enjoy this part of the role, you need to be comfortable taking initiative, communicating clearly, and bringing others along. You see what needs to be done and don't always wait for someone else to set the direction. What We're Looking For We're looking for someone with experience in administrative work who thrives in a service-oriented role with many points of contact. Experience from transport or logistics is particularly relevant since you'll need to quickly understand different transport flows and grasp how deviations affect operations. We believe that you: Have at least two years of experience from an administrative role, preferably in logistics or transport. Have good computer skills and experience working with case management or business systems. Are thorough and find it easy to keep track of multiple parallel matters. Communicate fluently in Swedish and English, both verbally and in writing. Like the phone as a natural work tool and thrive with many daily conversations. Are solution-oriented and have the ability to identify the root cause behind problems. Are unpretentious and flexible when the day's priorities change. Thrive working on-site and close to the operational activities. Who Are You? To succeed in this role, you above all need to thrive with intensity. When multiple phones are ringing, transports need help, and different scales demand attention, you can sort the tasks and determine what's a priority. You appreciate a high pace and positive stress, but also contribute with stability when things get hectic. You like creating order and think proactively about changing things that cause operations to stall. When a recurring problem comes up, you want to understand why and find a more sustainable solution. We'd like to see that you have a natural ability to bring people together and create structure without needing a formal management mandate. You're comfortable saying "this is how next week looks" and helping the group distribute work in a way that works for everyone. About the WorkplaceYou'll become part of the logistics support team in Linköping, which consists of three people. In the same office are also three colleagues in customer support, which means you'll be six people working close together in daily operations. In the area there are also colleagues in the operational activities. Logistics support is a small team where collaboration and personal responsibility are particularly important. There are therefore good opportunities for you to influence how work is planned and organized. This place suits you if you want more than a traditional administrative role.
