The Swedish Defence University is an internationally leading educational institution in defense, crisis management, and security. We conduct research in law with a focus on operational law and international humanitarian law, defense systems, war science, leadership and management, military history, and political science. The position is located at the study administration section within the Research, Education and Student Affairs Department (FUS) at Operational Support in Stockholm. Key Responsibilities In your role, you will coordinate, ensure quality, and provide information about the admissions process as well as participate in managing the Officers Program. This includes, among other things: Coordinate, plan, and partially train employees who work with interviews and assessments for admissions. Serve as a contact person with the Swedish Armed Forces and support them by, for example, participating in recruitment for the program, training recruitment officers, or participating in job fairs. Serve as a contact person with the Duty and Trial Board, which includes conducting dialogue regarding planning and follow-up of examinations as well as coordinating orders. Lead the meetings (commissions) conducted at the Duty and Trial Board's various offices, which involves multiple trips during the spring. Follow up on and develop processes, procedures, and documents related to the admissions process. Provide information about the program and admissions process, both internally and externally, by conducting trainings, participating in information sessions, and contributing expertise in projects. Provide administrative support regarding questions related to the program and admissions. Handle administrative tasks related to the admissions process and the program. You will work closely with your colleagues in your own section who also work with tasks related to the Officers Program. Additionally, you will collaborate with the program management for the Officers Program and the security department. Other administrative tasks within the department's areas of responsibility may also occur. Who are we looking for? We are looking for someone who has: An academic degree or other education/experience that the employer deems equivalent. Several years of relevant and current experience with case management in higher education. Very good knowledge of the NyA and Ladok systems. Good ability to use SQL in Ladok and NyA and experience in compiling and analyzing large datasets. Experience conducting trainings and information sessions for large groups. Good ability to express yourself in speech and writing in Swedish and English. Experience working with Microsoft Office. Meritorious qualifications include experience with: Working with the admissions process for the Officers Program. Collaboration with the Swedish Armed Forces and the Duty and Trial Board. The role involves significant responsibility and requires a good ability to plan, organize, and drive processes and workflows where multiple people are involved. You are calm and stable even in stressful situations and can make independent judgments. You are flexible and able to switch between different tasks as well as adapt to changing circumstances. You have good administrative skills, are thorough, and easily familiarize yourself with new systems. You are comfortable communicating with many different people and speaking in front of groups. About the Position This is a permanent full-time position, starting with a six-month probationary period. Employment at the Swedish Defence University may be subject to a security clearance under the Security Protection Act (2018:585). The position may also include war deployment. If you are already war deployed in your current position at an authority and your expertise is needed in the Swedish Defence University's war organization, a negotiation will take place between the relevant authority and the Swedish Defence University regarding your placement.
