Our team includes psychologists, psychotherapists, social workers, educators, and psychiatrists with solid expertise in mental health, support and treatment for children and young people, and their families. Our headquarters is located at Odengatan 8 and 9 in central Stockholm, where we also have our training facilities and treatment clinic. Visits and training take place both physically and digitally, with course participants from throughout Sweden and the Nordic region.
About the Role
The Education Administrator's role is to ensure that the institution's education and courses in both higher education and commissioned courses are administered with both high quality and good service. You will be part of a team of 5 people within operational support, where you work closely with the education coordinator, other administrative staff, and the organization's management. Based on given guidelines, you are expected to independently plan and perform work tasks in collaboration with the rector, academic director, course leaders, and teachers, as well as other staff.
The role also includes reception services, certain administration related to the treatment clinic, and other administrative tasks. To succeed in this role, you should enjoy working unpretentiously in a dynamic environment with varied tasks and broad contact points.
Your responsibilities will include:
Greeting and providing service to students and teachers, answering questions during visits, via email and phone
Administrative support to the rector, academic director, course leaders, and internal and external teachers
Administration related to advertising and marketing of courses, applications, admissions, examinations, exams, and reporting of study results
Booking and preparing training facilities and course materials
Updating information and registration forms on the organization's education websites, assisting with materials for marketing courses
Providing some IT support to students and teachers, and lending out materials and course literature
Simple financial administration (e.g., invoicing, tracking via Fortnox)
About You
We believe that to thrive and succeed in this role, you have previous experience with similar tasks and are well-versed in working with various administrative systems and digital tools. You are meticulous, solution-oriented, and responsible, with an ability to see the big picture and understand how different operational areas connect.
We believe you work independently and enjoy participating in driving the development of education administration forward, both by creating new routines and by working together with colleagues to take a comprehensive approach to the administrative workflow. Experience from the higher education sector and familiarity with relevant regulations and processes is a plus.
Furthermore, you value good service, are flexible, and enjoy providing service to both students and colleagues as well as other visitors. We appreciate someone with an eye for detail and a heart for personal interactions. You should be able to work proactively, in a structured manner, and handle multiple tasks simultaneously. You are a team player who thrives in an environment where relationships, responsibility, and commitment are central.
Qualifications
Post-secondary education, such as a bachelor's degree or vocational training in education, behavioral science, communication, or administration
Very good ability to express yourself both verbally and in writing in Swedish and English
Experience with administrative work involving varied tasks
Experience in education administration, preferably in higher education or similar environment
Very good system proficiency and strong knowledge of Microsoft Office, especially Teams and SharePoint
Experience working with web-based tools, such as website updates
Familiarity with creating, sending, and compiling digital surveys and other digital communications
Meritorious – it's a plus if you also have:
Experience working in higher education and knowledge of relevant laws and regulations
Experience working with the WordPress publishing tool
Experience with the administrative system Ladok
Working Hours, Start Date, and Scope
This is a fixed-term employment until June 30, 2027, on a part-time basis, 50-75% by agreement. Start as soon as possible in autumn 2026.
Working hours are office hours Monday to Friday. The distribution of working time is by agreement depending on the employment percentage.
This is a direct recruitment where you are employed by Erica Foundation with good benefits and secure terms. To be considered for the position, we will conduct background checks before contract signing.
