Do you want to help shape the future of information management at Chalmers? We are looking for a systems administrator with a business development focus, who thrives at the intersection of operations, digitalization, and systems management. In this role, you will have a central position in a comprehensive development effort where new ways of working, processes, and system support will be implemented to create real value for the organization.
Information about the department
The Archives and Records Management unit is part of the Management Office and Chalmers' central operational support. We are seven employees with expertise in records management, archives, information management, and digital preservation. Together we work to develop and improve support for the organization, work characterized by collaboration, flexibility, and shared responsibility.
Chalmers is continuously developing its working methods and system support for information management. The goal is to create more modern, proactive, and automated support for the organization. As a leading technical university, high demands are placed on efficient processes, good information management, and appropriate digital tools.
Information is a strategic resource for Chalmers, and our work contributes to ensuring it is managed, preserved, and used in a way that creates value for the organization.
Description of the position
The assignment involves taking a key role in a comprehensive ongoing change process where we take the next step in developing Chalmers' support for document and case management (records registration). We are facing a system change of the university's and foundation's records registration system, and you will be a central part of this work.
Initially, you will work on driving issues related to requirements specification for a new system, dialogue with suppliers, and development of structures for roles and permissions. You will also be part of the work to develop processes for efficient and appropriate workflows.
When implementing the new system, you will work to ensure that it meets the organization's needs. You will also train users and participate in creating well-functioning support for the organization.
In parallel with this, several other development initiatives are underway within the unit where you will contribute your expertise. This includes, for example, work on the institution's information management plans and development of working methods and procedures related to e-archiving and digital preservation.
The position is a permanent employment where we see that you will develop over time into a role as system owner for the systems included in our management object, which includes registration, preservation, legal support, and signing services.
Employment type
Permanent employment with a 6-month probationary period.
Qualifications
We are looking for someone who has:
- University education in systems science and/or archive and information management or equivalent experience
- Several years of experience working in the public sector
- Several years of experience working with document and case management systems (records registration support)
- Experience working independently with system-related issues in an operational context
- Good knowledge of the laws and regulations governing information management at a university
- Excellent communication skills in Swedish and English, both spoken and written
We would also very much appreciate if you have:
- Experience with system implementation or system migration
- Experience configuring operational systems (e.g., permissions, structures, and workflows)
- Experience with requirements specification and procurement according to LOU
- Experience with project management, process mapping, and business development
- Experience working with information management plans (according to archives law and public access principles)
- Experience working with e-archives
To thrive in this role, you need to be someone who can move freely between technology and operations. You have a structured working approach, are analytical, and have the ability to see the big picture while handling details. You are driven and take own initiatives, while also having an easy time collaborating and building trust in the organization. You are pedagogical in your communication and enjoy a role where you both develop solutions and support others.
We also believe that you are curious about leadership, digitalization, and new ways of working, and that you see the possibilities in developing the future of information management.
