About the Swedish Prison and Probation Service The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and are now seeking additional team members. The Swedish Prison and Probation Service's Service Center (KSC) is part of the headquarters. The unit exists to free up as much administrative time as possible for managers and staff within the Service's core operations. We support the authority in personnel and financial administration services, travel bookings, administrative support, and the authority's switchboard function. KSC serves as a point of entry and aims to provide friendly and professional support that facilitates operations. The position is placed in the support and development group within the customer center section. The group consists of case handlers, specialists, and experts who work to provide support and develop administrative processes. We work in teams to deliver high quality and actively work to develop the section's services to effectively support core operations. Job Description As a system administrator, you will be part of building and developing the management of the ESM component in the Swedish Prison and Probation Service's new case management system. You will have a central role in ensuring stable, user-friendly, and sustainable ESM management that supports the entire authority's work. In this role, you are responsible for administration, configuration, and further development of systems and services in operations. The duties include configuring forms and workflows, administering users, permissions and roles, and coordinating integrations with IT and external vendors. You will also work with version management and system updates, develop and administer forms, categories and process flows, and publish and configure new services in the portal. You are further responsible for updating texts, fields and other content in the system, as well as implementing minor process changes and continuous improvements. You will work closely with operations, division managers, super users, and other members of the management team to create user-friendly and quality-assured solutions. The role also involves serving as a bridge between users and technology in daily management and development work. Very good ability to express yourself clearly in speech and writing in Swedish. It is also advantageous to have: Education or certification in administrative governance. Certification in ITIL. Experience working with a service-oriented approach with operational needs in focus. Experience in change management. Experience with a process-oriented working method. Knowledge of administrative work for case management systems within ESM/ITSM. Knowledge of user experience work. Knowledge of automated case flows.
