About the Role As a Grants Administrator, you will have a central and coordinating role where you drive and ensure quality in processes related to grants, prizes, and committee work. You serve as the hub between researchers, members, external reviewers, and internal functions such as finance and communications. The work involves substantial individual responsibility where you own your processes from start to finish and ensure everything is completed with high quality. In your work, you will, among other things: plan and coordinate meetings and processes related to grants, manage administration, documentation, and minutes, be responsible for announcements, evaluation, and follow-up of grants, maintain ongoing contact with applicants, researchers, and external reviewers, work closely with the finance unit on matters related to funds and requisitions, and ensure correct communication in mailings and decisions. You will work with important financial processes where precision, structure, and attention to detail are crucial. This is a role with clear structure but high complexity in practice, where you navigate between different decision levels and many contact points – both nationally and internationally. Your Profile We are looking for someone who is confident in their competence and thrives in an independent role with significant responsibility. You are: structured and meticulous in your work approach, self-driving and move your processes forward, good with numbers and have a strong understanding of finance, communicative and clear in both speech and writing, and a skilled relationship builder who establishes trust in various contexts. As a person, you are unpretentious, diplomatic, and comfortable navigating an environment with senior people. You have the ability to be both responsive and clear, especially in dialogue with members and external experts. You appreciate a stable operation with well-functioning processes, while also having a curious approach and willingly contributing to development and improvement. We would like to see that you have: experience with qualified administrative work, good experience managing multiple parallel processes, experience working with numbers and finance, very strong knowledge of Swedish and English, both spoken and written, and good system skills (Office 365 and web-based administrative systems). It is a merit if you have worked in foundations, universities, or similar organizations, or have experience from the private sector. About the Academy The Royal Swedish Academy of Sciences is an independent organization with a mission to promote science, particularly within natural sciences and mathematics. The Academy was founded in 1739 and is one of Sweden's most prestigious scientific institutions. The team consists of eight people and the work is characterized by significant individual responsibility. Collaboration occurs as needed, but daily work requires you to be comfortable working independently. The organization manages approximately 100 foundations based on donations, where the work contributes to supporting research and early-career researchers – something many experience as meaningful added value in the role.
