We warmly welcome your application. Job Responsibilities You are offered a key position within our service center team. Currently, the team operates from two service centers on KTH's main campus at Valhallavägen. The service center team consists of four colleagues who, like you, are our face to the outside world and are passionate about helping, providing service, and meeting people every day—both behind the computer screen and by staffing the reception. As a Service Coordinator, you will assist employees and students with a wide variety of matters and answer numerous questions at the service center/reception, such as catering orders, receiving visitors, account inquiries, student questions, room bookings, packages and courier services, access card matters, keys, simple purchasing requests, etc. Examples of services you provide to employees, in addition to those mentioned above, include organizing preparations for new hires and departing employees, coordinating various celebrations, and preparing logistics for guests to the university. You will also coordinate smaller events and help visitors to the school with booking and reservations for travel and hotels, as well as handle SINK applications as part of your duties. You will continuously work in our case management system. You are expected to document and update procedures as well as work on developing new process descriptions for the unit's areas of responsibility. This position requires you to work on-site at KTH's main campus at Valhallavägen in Stockholm. The university is located in several buildings on campus, which requires a flexible approach as the work is performed with a focus on being close to operations. As of January 1, 2023, operational support at KTH has been coordinated into a single line organization, which means that areas of responsibility and work tasks may be relocated internally as the review continues under the change program being conducted within the university. Qualifications Requirements You have appropriate upper secondary education or have studied a subject relevant to the field. Since you will be working in an international environment where most of the people you serve do not speak Swedish, it is essential that you communicate very well in both Swedish and English, both orally and in writing. Previous experience with service-oriented work (reception, switchboard, front desk, customer service) Personal Qualities You need to be service-oriented with very good communication skills, as well as initiative-taking and self-directed to get the work done in a functioning daily operation. You are organized and passionate about building relationships with and between the different parts of KTH. You adapt easily to changing circumstances, can quickly shift your perspective, and see opportunities in change. We work in a changing environment with periodic high-pace periods where it is important to be stable and calm in your approach. Meritorious Familiarity with web-based systems, cloud applications, and MS Office programs is merits as we use several different systems for, for example, case management, invoice flows, travel bookings, personnel information, etc. Experience with similar work tasks is also merits, especially work in reception and experience with travel bookings as well as handling of SINK applications.
