The Estate Fund Delegation is a board agency tasked with deciding on the distribution of project funds from the General Estate Fund. The projects financed from the fund should contribute to renewing and developing activities for children, young people, elderly people, and people with disabilities. BRIS, the Suicide Line, and personal assistance are examples of activities that started as Estate Fund projects. The Swedish National Financial Management Authority (Kammarkollegiet) is responsible for serving as the Estate Fund Delegation's office and performs administrative and case-handling tasks for the Estate Fund Delegation. The office consists of administrators, case handlers, lawyers, controllers, business developers, and communicators. The Estate Fund Department at Kammarkollegiet is divided into five units. The Estate Unit represents the General Estate Fund when it is an heir or beneficiary of a will. Project Units 1, 2, 3, and the Support and Control Unit prepare project applications for decision by the Estate Fund Delegation and conduct continuous follow-up and evaluation work. The Support and Control Unit currently has fifteen employees and is now expanding the number of administrators with one additional position. Job Description The position includes, among other things: handling incoming emails and mail, registering documents, and receiving applications for the fund's resources. You will manage the department's info mailbox, which largely consists of requests for public access to documents and inquiries from members of the public. An important part of the position is reviewing the eligibility documents of applying organizations, such as bylaws and minutes. The work involves considerable contact and collaboration with other colleagues in the office. You will prepare decision-making materials for the Estate Fund Delegation ahead of meetings and process decisions after the meetings. The position also includes administering conferences and various bookings, taking minutes at meetings, and assisting with orders, reservations, and purchases for these occasions. The office consists of a total of 50 employees. The administrative team, which consists of four employees, is the hub of daily work and a very important function in the office. We are looking for someone who has: - completed upper secondary education or equivalent. - good ability to express yourself well in Swedish, both orally and in writing. - current experience working with document registration and case handling of matters in public administration. - several years of relevant experience working as an administrator in a government agency or other public sector organization. - high digital proficiency and good knowledge of the Office package (primarily Outlook, Word, and Excel) It is meritorious if you have experience: - working as an administrator in a supportive role. - managing bookings and mailings and providing support before and during conferences/webinars. - participating in association board work.
