In this role, you are responsible for records management, case logging, and document handling while providing important support on matters related to public access, confidentiality, and legally sound information management. You contribute to developing procedures and working methods while ensuring that operations are conducted in accordance with applicable legislation and internal governing documents. Does this sound interesting? We welcome your application! Work Tasks As a registrar with us, you will have a varied role with both operational and development-oriented tasks. You are responsible for ensuring that incoming documents are handled efficiently and legally soundly, that document flows comply with applicable legislation and internal governing documents, and that archiving is done correctly. The position involves close collaboration with the department's managers, case officers, and board secretaries. You serve as support on matters related to case logging, information management, public access, and confidentiality, and contribute to developing the department's working methods and procedures. The role also includes system administration responsibility for the case management systems used within the department. Your work tasks may include: - Receiving, sorting, and distributing incoming mail, emails, and other documents, and being responsible for registration and case logging. - Administering and following up on cases throughout the processing workflow. - Quality-assuring registered information and ensuring that cases are handled according to applicable procedures, legislation, and internal governing documents. - Archiving documents in a structured and organized manner. - Contributing to the release of public documents and, if necessary, assisting with confidentiality assessments. - Providing support and guidance to managers and staff on case logging, public access, confidentiality, and information management. - Training and coaching colleagues in the correct handling of documents and records. - Creating, implementing, and following up on procedures for document handling, archiving, and case processes. - Preparing information and statistics on ongoing and completed cases. - Working in close collaboration with board secretaries. - When necessary, providing legal assessments related to cases and documents. Qualifications The role requires: - Post-secondary education, for example in political science, law, public administration, social sciences, archives and information science, or other education that the employer considers relevant, alternatively several years of experience working as a registrar in public sector operations. - Good experience working with digital case management systems. - Good knowledge and understanding of legislation and regulations governing the handling of public documents, public access, and confidentiality. - Good digital competence and good knowledge of the Office suite. - Excellent ability to communicate in Swedish, both orally and in writing. Meritorious Qualifications: - Higher education in law. - Knowledge of administrative law, public access and confidentiality, or municipal law. - Experience working as a registrar, board secretary, or other qualified case handling in public sector operations. - Experience from a municipality, government agency, or other public sector organization. - Experience with system administration or system management. - Experience working with digital case logging and case management systems. - Experience with confidentiality assessments and the release of public documents. Employment Terms Permanent employment with start date by agreement. A trial period may apply.
