The Department of Medicine is seeking a qualified HR Administrator who wants to strengthen and develop our business-oriented HR support. With us, you will be part of a dynamic and complex organization with a clear mission to society. You work independently with significant responsibility and close to operations, while also being part of the administrative unit and contributing to the whole. The Department of Medicine is part of Sahlgrenska Academy and Gothenburg University's largest department with over 400 employees and 300 doctoral students. We educate future public health experts, physicians, dietitians, and others working in healthcare. Our research spans the entire medical field and covers several major public health issues as well as public health and health promotion. We have a vital mission: to generate new knowledge that gives people better health and to educate the next generation of healthcare professionals. The department has an annual budget of approximately 570 million kronor. Clinical operations in Western Sweden are constantly present in our environment. We have close collaboration with healthcare in both research and education, and many of our staff have assignments both at the university and within the Western Sweden Region. This creates a complex and stimulating environment that places high demands on administration – and provides great opportunities to contribute to work with clear societal benefit. The administrative unit consists of approximately 40 employees in HR, finance, education, communication, and management support. The unit is led by two administrative managers with different areas of responsibility. We are now looking for you to join our HR team, which consists of six staff members. We offer a workplace where administration is professional, business-oriented, and under continuous development. Responsibilities As an HR Administrator at the Department of Medicine, you have a broad and business-oriented role where you provide qualified administrative support to managers and employees in one of our departments. You independently manage ongoing HR administrative processes and ensure these are handled correctly and efficiently in accordance with applicable regulations and university procedures. A central part of the work involves administration related to the entire employment process. This includes preparing materials for recruitment and hiring, drafting employment contracts, and administering changes and extensions of employment. The position also includes monitoring fixed-term employment and handling related actions. You also work with ongoing HR and payroll administration, such as tracking leave and absences, managing allowances, reviewing travel expenses, and administration in the university's HR and payroll systems. Preparing various HR-related documents is also part of the role. You provide support to managers and employees on HR administrative matters and guide them in applying procedures and regulations. The Department has an international environment, and the role includes administrative matters related to international employees and guests. The work involves contacts with many different functions within the university and external parties. Work tasks may change over time based on operational needs and be complemented with other administrative duties. You work closely with other HR colleagues at the department and collaborate with administrative managers and other administrative functions. The role involves both independent responsibility and close collaboration with colleagues, where we collectively contribute to professional and well-functioning administrative support. Qualifications We are looking for someone with post-secondary education in HR or other education or experience that the employer considers equivalent. You have experience with qualified HR administrative work and are comfortable independently managing HR administrative processes. You have good digital skills and easily learn different administrative systems. The work requires you to interpret and apply regulations and procedures, and to communicate them clearly in daily practice. Given our international environment, it is important that you have good ability to express yourself in both Swedish and English, both verbally and in writing. Experience with HR administration in a university or other academic environment is a merit. Personal Qualities To succeed in this role, you need to be thorough and well-organized with attention to detail, but also flexible and unpretentious since conditions can sometimes change quickly. You plan and drive your work independently and have the ability to manage multiple concurrent tasks in a complex environment. The role involves many contacts with managers, employees, and other functions. You therefore have a professional and service-oriented approach and build trust by adapting your communication and support to the needs of the organization and its stakeholders.
