Head of General Headquarters Document Management and Archives Department Requirements for applicants: - A higher education degree (bachelor's degree) or Level II professional higher education in law, commerce and administration, social and human sciences, teacher education and educational sciences, or humanities (language studies and programs group); - 5 years of work experience in a state administration institution, of which at least 3 years of experience in areas related to record management or archives work organization, document accumulation, accounting, and preservation; - Proficiency in working with computer programs (MS Word, MS Excel, email and internet browsers). Main job duties: - Develop document classification scheme management procedures for the State Border Guard within the retention period framework; - Ensure and control all types of document circulation functions in the document management system "Namejs" (hereinafter – DMS "Namejs"); - Ensure that drafted State Border Guard internal regulatory acts and order document projects comply with record management regulatory requirements; - Monitor compliance with external control document execution deadlines set for performers; - Draft State Border Guard internal regulatory acts, commands, and orders on record management matters; - Monitor official email [email protected] and process e-documents, including those received from the Ministry of Interior and other institutions, and place them in DMS "Namejs"; - Collaborate with the Interior Ministry's Digital Center to improve document circulation workflows in DMS "Namejs"; - Participate in planned territorial authority audits on document management matters; - Draft acceptance and handover act projects for permanent and temporary paper files stored by the State Border Guard (including reports) for transfer to the archive; - Prepare and certify copies, duplicates, and extracts of paper and electronic documents in accordance with record management regulatory requirements; - Monitor and control the use of documents accumulated in the State Border Guard Archive, and ensure timely transfer of files to the archive; - Organize the physical destruction of documents selected for destruction; - Organize and participate in the work of the State Border Guard Central Document and Archives Management Expert Commission; - Develop and update position descriptions for Document Management and Archives Department employees.
