DUTIES We are now strengthening the office around the Director General and are therefore seeking a management coordinator. Currently there are two employees in the office and it will soon be expanded with several other competencies. You will have the opportunity to influence and shape working methods and processes and create results in close collaboration with others. A goal of the Director General's office is coordinated and unified support. The Director General's office provides strategic and administrative management support to the Director General (DG) and coordinates certain cross-agency matters. The office has tasks such as coordinating, initiating and driving issues in relation to the Government Offices, assisting the legal officer with legislative development, coordinating the DG's matters and preparation of such matters for decision-making, quality assuring and monitoring certain of the agency's planning, management and support documents, and providing administrative support to the board, DG, and management group. This also includes responsibility for planning and coordinating both the work of Lantmäteriet's management group and board work. As a management coordinator, you will have an important and coordinating role supporting a number of business area managers. Your closest colleague is the DG's secretary and you have close daily collaboration and cover for each other during absences. The role also includes support to other managers within the agency. The duties mean that you are expected to be able to represent the DG or a business area manager in current matters to other functions within the agency, in both the management and support dimensions. Your duties are varied and multifaceted with the common denominator of service, good structure, and quality. Even when tasks are unclear or in a stage where no one has much information. You will provide support with, for example, meeting bookings, conferences, and mail handling. You will also handle internal processes such as keeping preparations together, writing background materials, facilitating recurring meeting series, suggesting efficiencies and improvements to routines and working methods. You will have great insight into what is happening in the organization and report directly to the head of the Director General's office. Placement is at Lantmäteriet's offices in Gävle, Uppsala, or Stockholm. The majority of staff members in the office are based in Gävle, so regular presence in Gävle is required. QUALIFICATIONS We are looking for someone who has completed upper secondary school and has several years of experience with similar work in a larger public organization/agency. This means for us that you have at least 3 years of experience working as management support for executives in a top management group in a larger public organization/agency. You have a good ability to express yourself in speech and writing in Swedish and have good knowledge of technical work tools such as the Office suite. It is important that you can grasp and understand our daily work and our needs and can translate this into action. You have an important and central role for Lantmäteriet's top executives and your coordinated efforts contribute to smooth daily operations for management. You are trusted with great responsibility and your approach is proactive, attentive, and solution-oriented. Your work is varied and you have opportunities to influence and develop your tasks and working methods yourself. The role requires good collaboration both internally and externally. Your personal qualities are therefore very important to us. We are looking for someone who has the ability to create structure and order and has good foresight in your work. The position is security-classified, which means you must be a Swedish citizen and a security clearance with background check and security clearance interview will be conducted before employment.
