Group Administrator for Long-Term Assignment with One of Our Clients

Our growth is driven by a clear need in the sector: competent finance professionals who can strengthen public sector operations undergoing change, ensure quality, and contribute to social benefit. We are now seeking an administrator in HR and training for one of our clients. You will be employed by Genero but will work on-site at the client. The assignment is full-time for three years with good opportunities for extension. You will work full-time, 40 hours per week. The administrator is the hub with many contact points, both internally and externally. The administrator should assist the team and contribute to streamlining operations by supporting colleagues and creating structure. The administrator needs good prioritization skills and experience managing multiple tasks simultaneously. As an administrator, your main task will be to support the team with overall administrative work. The assignment includes, among other things: - Being the group's main administrator in the access system Betsy (register assignments, order access rights) - Relieve projects with ongoing filing - Overall administration in the document management system Atlas (assign access rights, create/adjust folder structures) - When time permits, assist with administrative aspects of major project activities, such as handover at project completion - Administer SOWs/commitments in Magnit (receive and distribute invoices, monitor approved budget and manage extensions as needed) Resource Management: - Manage resource procurement in Magnit in the form of consultant requests and extensions and expansion of existing resources' assignments - Onboarding in the form of ordering access rights and equipment The tasks are sometimes event-driven and can change, which places high demands on flexibility and adaptability. As a group-level administrator, you will collaborate extensively with all colleagues and project members. Mandatory requirements for the position: - Education – at least upper secondary school certificate - At least 3 years of documented experience in administrative work in, for example, office, reception, finance, HR, customer service, or public sector. Does not need to be continuous. - At least 3 years of experience independently planning, prioritizing, and following up on multiple parallel tasks with varying deadlines and priorities. - At least 1 year of experience with invoice management or other finance administration. - At least 2 years of experience coordinating administrative activities between multiple stakeholders, for example meetings, orders, information flows, follow-up, or documentation. - Experience from at least 1 employment/assignment in identifying, proposing, and implementing improvements in administrative work methods, routines, or processes that contributed to increased efficiency, quality, or service. - At least 3 years of experience working in Microsoft 365 and the ability to quickly learn new administrative systems and digital tools.
