Are you the one who creates structure, value, and long-term sustainability in our management of digital archives to be preserved for all time? We are seeking a management leader who will play a central role in driving the development work of the Regional Archives' management governance, where our systems and applications function as an integrated whole.
Job Responsibilities
We offer interesting work in a small administration with a large and important public mission. As a management leader with us, you will be responsible for leading, coordinating, and monitoring administration and development. The role involves translating the organization's needs into clear plans, priorities, and change initiatives.
You will serve as a unifying link between asset owners, operations, and vendors. An important part of the assignment is to create clarity around responsibilities, goals, priorities, dependencies, and deliverables.
You will be part of developing a service placed at the administrative office. The other colleagues are support functions within IT, information security, data protection, archives law, case management, digitalization, and communications. In your role, you will work closely with other support functions, core operations, and management leadership.
The role includes, among other things:
leading and coordinating ongoing administration work
capturing, analyzing, and prioritizing operational needs together with stakeholders
coordinating requirements, changes, improvement suggestions, and development initiatives
preparing decision-making materials and monitoring and further developing management plans and activity plans
measuring and monitoring deliverables, costs, benefits, risks, and quality
contributing to clear working methods, roles, procedures, and documentation
We believe it is important that we meet and build relationships at the workplace, so we want you to be on-site most of the time. Of course, there is the possibility to work from home one day a week to achieve balance between work and private life.
Qualifications
We want you to have:
University education, for example in systems science, public administration, informatics, or other competence we assess as equivalent.
Experience with project management, change management, or administration work in a coordinating role. You have also worked with PM3, ITIL, or equivalent administration models.
Very good IT skills and technical competence to work closely with systems analysts and external vendors to solve problems and plan for system changes.
Good understanding of business processes and operations.
Good ability to express yourself well in speech and writing in Swedish.
It is meritorious if you have worked in public administration with information management or archives and have knowledge of established standards such as OAIS and PAIMAS. If you have experience working with information and cybersecurity, data protection, procurement, contract management, and vendor management, that is also meritorious.
To succeed in the role, you need to be driven and goal-oriented. This is demonstrated by taking initiative, starting activities, and achieving results with your strong commitment and enthusiasm for your work, whether working alone or with others. Clearly defined goals motivate you and you have the ability to translate these into concrete action.
Another important competence is that you are communicative and convey information and ideas clearly both verbally and in writing. You ensure that your message gets through and adapt your communication to the recipient, target audience, and situation.
Your good collaboration skills mean you work well with others by listening, showing interest, and respect. You understand the shared mission and work to make it as good as possible.

About Us
The Regional Archives is Sweden's largest municipal/regional archive. Here are over 12 million paper documents and large amounts of digital information. The public, researchers, businesses, and authorities seek information from us concerning schools, social services, healthcare, politics, urban planning, local transport, culture, association activities in Gothenburg, and much more.
For it to be possible to search for and provide the material that is requested, we need to ensure that the right information is preserved in the right way. We do this by making decisions, conducting oversight, and providing training, advice, and support to the authorities. The regulations we follow make it possible to develop modern information management in collaboration with the operations. It should be as easy as possible for the authorities to do the right thing. The Regional Archives also develops and adapts a digital final archive to meet future needs for information.
The Regional Archives is an administration within Gothenburg City and is governed by the Archives Board, a joint archives authority for the West Sweden Region and Gothenburg City. The administration has approximately 50 employees in Gothenburg and Vänersborg who in various ways contribute to ensuring that the right information is preserved and accessible today and in the future.Description
