About the Assignment
As an Administrative Coordinator, you will have a central role in the organization where you support managers and teams with administrative tasks and coordination. You will be an important part of the organization and contribute to ensuring that daily operations run smoothly and efficiently.
The role is varied and includes everything from calendar management and meeting planning to travel administration, event coordination, and support in various administrative processes. You will have many contact points, both locally and internationally, which means you need to be comfortable with collaboration and building good relationships.
In the role, you will, among other things:
Provide administrative support to managers and teams
Manage calendars and coordinate meetings
Plan and administer national and international business travel
Handle travel expense reports, reimbursements, and related administration
Organize internal meetings, workshops, and smaller events
Prepare presentations, meeting materials, and documentation
Be an important contact person between different functions and partners
Contribute to a well-functioning office environment
Work in various administrative systems and Microsoft 365
Participate in the development and improvement of administrative routines and processes
The assignment is located at Thermo Fisher Scientific in Uppsala and you will be employed as a consultant via Adecco. This is a parental leave replacement position for 14 months starting in October, with excellent opportunities to remain with the client.
We are Looking for You If You
Have experience in administration, coordination, customer service, or other service-oriented roles
Enjoy planning, organizing, and creating structure
Have strong skills in Swedish and English, both spoken and written
Are proficient in Microsoft 365, particularly Outlook, Teams, PowerPoint, and Excel
Are thorough, responsible, and solution-oriented
Have the ability to handle multiple tasks in parallel and prioritize when needed
Are communicative and enjoy collaborating with people at all levels
Have a professional approach and handle information with integrity
Meritorious
Post-secondary education in administration, finance, or a similar field
Experience with travel bookings and event coordination
Experience with systems such as Workday, Concur, or similar
Experience from an international organization
Additional language skills beyond Swedish and English
