About the Swedish Prison and Probation Service The Swedish Prison and Probation Service is expanding – we are building new facilities, renovating, and expanding, and we are now seeking more employees. Job Description We are now seeking an executive assistant for our operations, and together with your executive assistant colleague, you will work in close collaboration with management within the operational area. In your role as an executive assistant, you support managers in personnel matters including work environment, rehabilitation, co-determination agreements (MBL), collective agreements, salary structuring, and personnel planning. The role also includes working with certain parts of the recruitment process. As an executive assistant, you participate in management team meetings, negotiations, and safety committees, and you are responsible for preparing materials and producing minutes. In the local management group, you share responsibility with the prison manager for coordinating matters within your area. You will also participate in regional executive assistant meetings, maintain continuous contact with regional operational units as well as union representatives and external partners. Furthermore, you serve as support to managers on specific matters such as HR annual planning, operational planning, and follow-ups. It is of great importance that you act in accordance with decisions made, goals, policies, and guidelines, and that you respect the confidentiality requirements of your role. You plan, organize, and prioritize work efficiently. You take independent responsibility for your tasks and have a holistic perspective. You thrive in a partially administrative role and are experienced in working in a structured and systematic manner, as the role involves coordinating and driving processes with multiple stakeholders simultaneously. The role involves many points of contact both within and outside the organization, and therefore high demands are placed on good communication and collaboration skills. We are looking for you who have: • Academic education in a subject area relevant to the position, preferably in HR or personnel science, or alternatively other education combined with experience that the Swedish Prison and Probation Service considers relevant. • Work experience in personnel/HR or equivalent experience that the Swedish Prison and Probation Service considers relevant for the position. • Experience independently carrying out, leading, and supporting processes. • Good knowledge of Swedish, both spoken and written. It is also advantageous to have: • Good knowledge of and experience with LAS (Employment Protection Act) • Good knowledge of and experience with MBL (Co-determination in the Workplace Act) • Good knowledge of and experience with collaboration • Good knowledge of and experience with AML (Work Environment Act) • Good knowledge of and experience with ATL (Work Time Act) • Good knowledge of and experience with the importance of collective agreements.
