The Air Force Staff is in an expansive development period where successful management support is crucial. We are now looking for an executive secretary who wants to be part of our development journey and support managers.
Main responsibilities
As an executive secretary, you will create a flow and logistics around a manager who is constantly on the move. The role requires good administrative skills, excellent communication skills and professional conduct. You need to be self-driven, flexible and have an easy time prioritizing when the pace is high. It is also important that you are service-oriented, have high integrity and good collaboration skills. You work proactively to best anticipate needs and events going forward and act accordingly, all so that managers can fulfill their assignments. It is required that you are both meticulous in the details and have the ability to see the whole picture.
The role also includes:
Planning and coordinating meetings, trips, conferences and other gatherings for the management group
Managing calendar, email, bookings and certain correspondence
Preparing materials, minutes, presentations and reports
Providing support in contacts with partners and external parties
Handling invoices, orders, contracts and other ongoing administration
Compiling material for reports and coordinating, driving and participating in various types of projects.
REQUIREMENTS
Qualifications
Completed 3-year upper secondary school education
At least 5 years of relevant and current experience in an administrative and service-oriented role acting as management support
Very good knowledge of the Office package
Very good ability to express yourself in speech and writing, in both Swedish and English
B-class driving license.

MERIT FACTORS
Experience of similar work in the Swedish Armed Forces or other government agency
Experience working in systems VIDAR, PRIO, SWECCIS, EMILIA and ISUS
Experience with document and case management systems in public operations
Knowledge of the Swedish Armed Forces' management system and management processes
Academic degree relevant to the position.

Employment form: Permanent civil employment that begins with a six-month trial period for applicants who are not currently employed by the Swedish Armed Forces

The Air Force Staff develops, plans, executes and evaluates orders and directives issued by the Air Force Commander. The Air Force Staff consists of approximately 350 employees. The Air Force organizes and trains flight, base and command units and has the task of monitoring and protecting Swedish airspace.
