The Community Development Administration in Järfälla Municipality plays a central role in the development of one of Sweden's most expansive municipalities. We are responsible for issues that affect people's daily lives and the municipality's long-term development, from urban development and infrastructure to environmental and property matters. We are now seeking an experienced and qualified chief coordinator who wants to be a key person in the administration's leadership. The position comprises 60 percent of full-time. 1 position(s). WORK DUTIES As chief coordinator, you provide qualified support to the Community Development Administration's leadership and primarily the administration director. The role requires that you can independently plan, prioritize, and coordinate multiple parallel processes while handling matters of varying complexity and often sensitive nature. Your main work duties include, among other things: • serve as qualified administrative and coordinating support to administration leadership. • be responsible for advanced calendar and meeting coordination with many internal and external stakeholders. • together with the administration director, plan and administer leadership meetings, workshops, conferences, and other forums. • coordinate materials, presentations, decision documents, and reports for leadership meetings. • follow up on decisions, assignments, and measures to ensure implementation and delivery. • coordinate and develop administrative processes, routines, and working methods within the administration. • coordinate internal and external events, representations, and operational activities. • handle orders, invoice flows, and other financial administrative processes with high quality and accuracy. • support leadership in matters concerning communication, collaboration, and internal coordination. • identify efficiency opportunities and actively contribute to developing the administration's administrative support. You are expected to be a proactive partner to leadership, where you not only handle incoming tasks but also anticipate needs, initiate improvements, and create conditions for effective leadership. QUALIFICATIONS We are seeking someone with several years of experience in qualified administrative work within the community development field at the leadership level and who has experience working independently with significant responsibility. The position requires: • post-secondary education in advanced administration, public administration, economics, or other relevant field. • at least five years of current experience in qualified leadership support, executive support, coordination, or similar function at strategic or operational level • documented experience supporting leadership groups, managers, or larger operations from municipal or other politically governed organization within community development activities. • knowledge of public administration and the laws and regulations governing municipal operations. • experience independently planning, coordinating, and conducting meetings, conferences, and operational activities. • experience in invoice handling and administrative processes within economics. • very good system proficiency and advanced knowledge of Microsoft 365, especially Outlook, SharePoint, OneNote, PowerPoint, Teams, Word, and Excel. • very good ability to express yourself professionally in Swedish, orally and in writing. It is an advantage if you have: • experience in operations development, process development, or project management. • experience in case management, board administration, or work close to political decision-making processes. • experience with Raindance or equivalent financial system.
